Can I integrate my Squad In Touch account with Google Calendars?

Yes, you can easily integrate your Squad In Touch account with your Google Calendar. If you go to your ‘console’ and click ‘integration’ then go to the settings cog and select ‘Add integration’. Any fixtures that you add to your Squad In Touch calendar will automatically be placed on your google account. Please be aware that the Google Calendar has to be linked to the same email address as your Squad In Touch account.

How do my staff members get a Squad In Touch account?

Any staff members can sign up to Squad In Touch, as long as you have a full subscription account. All they need to do is create an account, then you can go to your ‘console’ via your Squad In Touch platform and accept the user onto the system.

How do parents receive notifications?

For parents to receive notifications about fixtures that their child is involved in they will need to create a Squad In Touch account. This will then allow the school to link them to a specific student and receive important updates about the events their child is involved in.

I cannot find my school on the system, what do I do?

How can our school join Squad In Touch?

The signing up process cannot be easier.
– Fill out the registration form
– Verify your email address and mobile phone number
– Select your school and role.

Users and permissions

Can I manage new users via the app?

Yes you are able to accept and reject knew users right from your mobile app.

How do I accept users onto my schools SiT account?

There are a number of ways you can accept users onto you schools account, these are based on the user role type.

Manual Accept

Users this relates to: All users

Manual accept is up to the school to accept users based on their credentials to ensure they are the same as the details the school has on the system. You then accept the users via your console tab and select the ‘new requests’ section.

Auto-Accept

Users this relates to:  Parents and Students

When adding your students to the system you can add them along with a unique code, this will then enable parents and students when creating an account to enter the unique code. The system runs a script every 6 – 12 hours, during this time it will link all unique codes to the correct student name. Note, this can also be done using email address, for example an email address of a parent or student can be linked to the students name.

How do my staff members get a Squad In Touch account?

I have requested a role, when will it be approved?

If you are joining the school as anything other than an admin, it is the soul responsibility of the school to check your credentials and accept you to their system. However if you are signing up to a school for the first time as an administrator it will take up to 24 hours for your request to be approved.

I rejected a user however, now I would like to accept them, can I do this?

Once a user has been rejected you cannot rectify this, it is the users responsibility to resend the request. However, you can revoke access permissions of anyone that you have accepted.

Our school policy will not allow for users to post and comments on our site, can I turn this off?

Yes, you can control whether users can post photos or comments. Head over to your ‘console’ click on ‘moderation’ and opt to turn off photos or comments.

How do I add school users?

You do not need to create accounts for school administrative staff, PE teachers, coaches or parents.
Their accounts will be created when they register with Squad In Touch. Just provide them with the signing up link and their joining requests will appear in the school control panel.
Those users who have either a school admin or school manager role can manage users’ joining requests, accepting or declining them.
When accepting joining requests please make sure you have verified the identity of  the user. When considering requests from users willing to join as parents please check whether their registration details (phone number and email address) match the relevant records in your School Management System. Squad In Touch Ltd take no responsibility for the members who are accepted, this is the responsibility of the school admin/manager.

How do I decide which role is best for user?

It depends on the user’s area of responsibility.

Please see below for our recommended role permissions:

  • The user responsible for IT security and/or the main school website is granted with School Admin permissions;
  • School staff responsible for keeping School Management System up to date are granted with School Manager permissions so that they can manage School Houses, Forms and Students records;
  • PE and Games teachers are granted with PE Teacher permissions;
  • Coaches are granted with Coach permissions.
  • Parents are granted with parental permissions.
What is the difference between School Admin and School Manager roles?

The School Admin is able to edit your school’s details including its address, description and sports public website domain name. He can also upload a picture of your school’s logo.

When it refers managing users and permissions the School Admin can grant any roles to school users while the School Manager can only grant PE Teacher, Coach and Parent permissions.

Are there any limitations to the number of users a school can have?

Each school can have as many user accounts as it needs, also users can have as many roles attached to their account as required. For example, a coach can have a second or even a third role attached to their account, it is also possible for that user to be attached to a different school without creating a new login.

Users who have multiple roles or even schools on their account only need one login, it is easy to transfer between schools and roles from their dashboard.

 

Registration and login issues

Do we need to provide parents with our log in details?

No, parents will create their own account and have their own unique password. It is up to the school administrator to accept or reject a parent based on their credentials and link them to the appropriate student.

I cannot find my school on the system, what do I do?

If your school does not appear in the system please get in touch with our support team, either via out live chat in the bottom right hand corner of any Squad In Touch webpage or alternatively send us an email to support@squadintouch.co.uk. I have not received a verification code, what do I do?

If you do not receive a verification code immediately after registering please check you have entered your email address and mobile number correctly. Some servers / mobile networks may take a little longer to deliver the code than others.

If within 30 minutes of registering you still have not received your verification codes, and they have not been sent to junk mail, please check your email address / mobile number is correct and ‘resend code’.

If this has failed, feel free to speak to our support team via our live chat service, using the chat box in the bottom right hand corner of any Squad In Touch screen. Why do I need to provide my email address and mobile number?

You need to provide an email address and mobile number when signing up to Squad In Touch to allow us to send you verification codes, so we know who you are. Please note, Squad In Touch will not send you any spam messages and will not send you any promotional offers unless you tick the box to say you’re happy to receive them.

If you are a parent signing up to Squad In Touch, the details you provide allows the school to check all of your credentials are correct before they allow you access to their private system.

Where do I register?

Registration is available via the link.

I have registered but cannot access anything except my profile information

Once you have completed the registration process this does not automatically provide you with full access to the system, unless your identity and permissions have been confirmed by the school authority.

If you are registering as a School Admin on behalf of a school, we will contact your school to make sure you are authorised to act on behalf of it.

As soon as your permissions have been confirmed you will get full access to Squad In Touch, relevant to the system role(s) you have been granted.

I have lost my password

Don’t panic! While your password cannot be retrieved, it can easily be reset.

Visit the login page and click the Forgot password link. Follow the instructions and you should be able to log in again shortly.

How secure is the solution?

The Squad In Touch solution is delivered to schools from the cloud service located in the EU. We host our solution at the Amazon Data Centre fully compliant with security standards and requirements according to:

o G Cloud (UK Government Standards);

o UK Cloud Security Principles;

o UK Cyber Essentials.

Amazon Web Services (AWS) provides a highly reliable, scalable and secure cloud based infrastructure meeting the requirements of an extensive list of global security standards, including:

o ISO 27001;

o SOC;

o PCI Data Security Standard.

Where do I login?

You can log in to Squad In Touch via the link. To access the system please use your email address and choose a password, your password must contain at least one capital letter and one numerical character.

Parents

Can I see all of my children’s details, even if they attend different schools?

Yes, you can link your account to multiple schools and children. As long as the school accepts you and agrees to link you to your child you can be linked to as many accounts as you choose.

How can I post photos?

Click on the fixture you would like to add photos for, scroll down to the bottom, click on ‘Gallery’ and then select add photo. Photos can either be uploaded from saved photos on a computer or mobile/tablet, or they can be taken and uploaded directly from the mobile app.

How do I add an additional child to my account

For parents who halve multiple children whether they are in the same school or not, it is really simple. There are two ways you can do it

Via the website

  1. Log in to the website and go to your profile (circle in the top right corner of your screen)
  2. Click on the ‘requests’ tab
  3. Add a new request (click on the button that has 3 people sat behind desks)

Via the app

  1. Log in to the app and click on the menu button (three lines in the top left corner)
  2. Click on the ‘Profile settings’ option
  3. Click into ‘Roles’ and add a role from here.
How do I post comments?

You can post comments by going to the fixture you would like to comment on, scroll down to the bottom of the page and there is a comments box that can be typed into.

How many ‘Parent’ accounts can be linked to a child?

As many ‘parents’ accounts as needed can be linked to a child. Parents / Grandparents / Aunts / Uncles / Carers etc.

Where can I find the match results?

Match results are displayed on the fixture details. If you click on the fixture you would like to see the final scores off it will then take you to the final scores.

Who can see my comments?

The comments can be seen by ‘team members’ this includes students involved in the fixture and their parents who are registered to Squad In Touch.

Who can see the photos I upload?

The photos that are uploaded can be made either private or can be shared with ‘team members’ this includes, students involved in the fixture and their parents who are registered to Squad In Touch. They can not be posted on the schools public website.

Why can’t I post public photos?

You can’t post public photos onto the schools public website as this would be a breach of child protection. Problems could occur if there is a child who is not able to have their photos posted publicly in one of your pictures.

Students

How can I post photos?

Our teams final fixture score has been displayed incorrectly?

If your team score has been updates incorrectly then please speak with your coach as they may have made an accidental error.

Where can I find the match results?

Are pupils details visible to the public?

In your system you will be able to see the students full name however the software will only allow their first name and their surname initial to be shown.

How are league tables compiled?

League tables are compiled automatically using all of your schools scores from the fixtures they have played against one another.

How do I post news?

You can post news via your ‘admin area’

What are the benefits for an association to join Squad In Touch?

We can offer you our software completely free of charge, you will get a public website that will include league tables and photos of fixtures that have taken place within your schools.

Who can use this functionality?

Any school unions, trusts, associations or councils which are running or controlling several schools.

Managing fixtures

Can I add a game without knowing the team?

Yes, if you add the fixture as normal and when you get to the page where you should select your team members, select the option ‘select team later’ this will then allow you to choose your team members when you know who they are / will be

Can I add multiple teams to an event that has multiple schools?

You can add multiple teams to an (mt) or (t) event, you can have as many teams as you need as well as, as many schools.

Click on the blue button that has your schools name on the ‘select team members’ section and choose to add a new team.

You can then add students names to all of the multiple teams within your school.

Can I change details of the match once it is created, such as; Match name, time, date, team name, team members and year group?

Match name:

The match name is generated automatically when you enter the team name and it looks like “Our school team” vs “Opposing school name” {Sport name} (or in case of inter-houses matches it will be “House 1” vs “House 2” {Sport name} etc.)

Match details:

You can edit such details as date, time, venue, team name and team members

Year group: 

If you need to alter year groups within a fixture, you have to create a new event (you can create it by copying an existing event). An update will be coming soon that will allow you to not select a year group, therefore you can select students from any year groups.

How do I add questions to consent forms?

To add a question to your personalised consent requests you will need to send a list of questions to our support team who will then add it to your account. Please word the question exactly how you would like it to appear to the parents, as well as a list of answers they can choose from if necessary. Your questions can either have a yes / no answer, a free type answer or a list they can select from.

How do I create a ‘mixed’ sporting event?

If you would like both girls and boys playing a sport then when creating your fixture you can click both boys and girls options. This will then create a mixed fixture.

How do I delete a fixture?

At the moment you can only cancel a fixture, however if you wish to have the ability, as admin, to delete fixtures please speak to a member of our support team to enable this feature on your schools account.

Please note only Admins of your school site will have the ability to delete fixtures. If however this does not suit your school please email the support team the dates, times and names of the fixtures you would like to be deleted.

How do I specify if a fixture will take place at Home or Away?

Home or Away is defined automatically, there is a main postcode specified in your school’s details. If, when creating your fixture, you select your school postcode as the venue then the match will be specified as “Home”.

Alternatively, if you select an opposing school’s postcode (or any postcode which is different from your main postcode) then it will be set as “Away”

I cannot find my opponent school

If you cannot find your opponent school then please ensure that you are searching for them using their full, actual name, also ensure that you are spelling their name correctly. If both of these are not the issue then please get in touch with us at support@squadintouch.co.uk or chat to us using our live chat in the bottom right corner of every Squad In Touch webpage.

What if my school or an opposing school does not appear on the system?

If there is no record of your school or a school you are playing a fixture against, please get in contact with the Squad In Touch Support team and they will get the school added to the system within 24 hours of your request.

School details

How do I change my schools domain name?

To change your schools domain name, from your summary page click the edit button (the pencil icon next to your school name) go down to ‘domain’ and enter your new domain name. This will be your public webpage address, please do not put any spaces between words and ensure that the domain name is unique.

How do I replace my school logo that is displayed in games?

On your summary page click the edit button (the pencil icon next to your school name) and then click on the plus button by your photo, this will allow you to upload a new photo that is displayed in games.

Security

Are pupils details visible on public websites?

Can parents post photos to our public website?

No, parents / students cannot post pictures to the public website. Only the school admin, managers, teachers and coaches can post photos to the public website.

How do I view emergency contact details via the app

You can view emergency contact details on your mobile app right from the pitch. To access pupils’ emergency contact details click the event and long tap the name of the child.

To be able to view emergency contact details when you are offline you need to open the fixture whilst you have internet access so it is always worth it to scroll upcoming events and open them prior to going to the pitch.
